Tenant-Satisfaction Services

Managing the positive expectations of tenants can be a great enhancement to the tenant’s quality of life in a rental property.  To enhance and promote a positive outlook of our client’s investment property we provide our tenants with the level of customer service that gives a sense that we truly care about their use and enjoyment of their rental property.  We able to gain tenant-satisfaction by, 1) educating our tenants by providing them with a better understanding of community association life and 2) maintaining regular communication with our tenants and surveying their level of satisfaction.  For those tenants who live in community associations, keep our tenants informed about what is happening in the communities they live – helping them to be more involved in the community.  The more involved tenants become is in the community they live, the more likely they are to have a positive lookout about the home they rent and therefore more likely to stay longer.

Online/Cloud Based Support

Our cloud-based support service provides convenience, savings, accessibility to information, and management efficiency to the properties we manage, and its residents. We provide tenants with online access on a 24/7 basis not only to our emergency phone line but also to do everything from pay the rent to place work orders to read the property’s policy manual or the Association’s Rules and Regulations.

We use our online services also to enhance owner reporting and transparency.  We provide clients with online access to property information, financial statements, key documents – all on a 24/7 basis. We also conduct owner meetings via web-based technologies (such as Zoom) and improve responsiveness to tenants and residents by using the technology to conduct building inspections, communicate with maintenance staff, and track work order status.

 For our multifamily buildings, we host a building web site that allows residents to do everything described above.

Association-vs-Tenant Resolution

Our Association versus Tenant Resolutions Service is about working with the condominium and homeowner associations to resolve any issues which may arise with the properties we manage.

An important factor in managing an investment property located in an association-governed community is having good communication with the Association’s administration (Board of Directors) and management and understand how the inner workings of its process and procedures. That is to say, it’s important to know how responsibilities are delineated within the Association and then communicate that to each tenant.

Communication plays a big role in finding solutions to Association related issues. One of the most effective ways to help increase support of Board decisions is through communication.  If the Board is informed of the issues facing the investment property or its tenant(s) and the tenants understand why the Board makes the decisions that it does, tenants will be more likely to support and comply with the Board’s decisions.  In addition, effective communication also allows all the parties involved, the Board, Association Management, the Unit Owners and tenants to voice their opinions and ideas so that the Board can make its decisions based on the best interests of all involved.

 To achieve tenant’s support and adherence to the Association’s Rules and Regulations we promote participation in the community associations activities by sending periodic newsletters for tenants to stay abreast association-sponsored social activities, board, and committee meeting schedules, meeting minutes, and other events.  With our ongoing communication programs, unit owners and tenants can stay abreast of what’s happening in their communities and get more involved.

Risk Management

Through it all, what stands out as critically important about owning investment real estate is having a risk management program that identifies and evaluates potential risks and, once identified, determines how to mitigate exposure to and manage those risks in the most efficient and effective way possible. And that is the focus of our Risk Management Services.  We read insurance policies carefully, even the small print so that we know what’s covered and what isn’t – before it’s too late.  We implement risk management inspections and survey your property for potential problems, particularly opportunities for “trip and falls.”  We conduct a risk assessment that examines threats, vulnerabilities, consequences, and countermeasures.

 Furthermore, we treat insurance costs as a controllable expense.  We pursue discounts on insurance whenever possible; for example, for having an emergency preparedness plan.  We shop the property & liability insurance market annually and when possible, we combine with other groups to achieve lower costs by spreading the risk.  We are mindful of when insurance renewals come due so that we secure competitive insurance bids months in advance of a property’s insurance expiration and renewal. We revisit deductibles regularly and increase them as appropriate.

Property Lawsuit Management

The risk analysis helps us to determine the exposure to property damage but also helps us recommend and adopt measures to minimize lawsuits.  Hence, we make it easy for tenants to notify us about physical problems that develop within a unit, house, or building.  We respond to tenant complaints promptly so they don’t become opportunities for lawsuits (especially notices of water leaks or other sources of water, which could lead to lawsuits about mold).  We require tenants to sign appropriate disclosures and other lease riders as required by federal law. We train our staff regularly to help prevent harassment and discrimination suits and keep proper records of all repairs to the building and to individual units. In all cases, we follow the law – e.g., fair housing, handling of security deposits, recovering possession of a unit.

Natural Emergency Preparedness Plan

The unexpected will occur so we try to be prepared to address it when it does.  We have a central emergency call center to be able to get help where it is needed quickly.  We have a checklist for things to do during natural emergency situations which we provide to all our tenants.  We prepare an emergency preparedness plan for each house or multi-family building we manage, which we review and update regularly, train the staff on it, implement it when and if the time comes.  In the case of large multifamily buildings, we stage an emergency mock event – as a practice run, to see where the weaknesses are and hold live drills.  In the case of single units in a condominium community or high-rise, we make sure to review the Association’s plan and provide a copy to our tenants.
